Communications Team Overview

Overview

The Communications Team at HAS helps keep students informed by sharing important information related to their majors/minors, intellectual interests, and key UW academic policies—reducing the need for additional appointments and ensuring they have the resources they need to succeed. 

The program coordinator plays a key role in this team by supporting the creation of e-newsletters and email communications for our students. The PC’s expertise is valuable to the team as they see the central inbox and can pick up on trends from questions students ask that may be beneficial to address in mass communication. 

 

  • The Communications Team at HAS uses a variety of methods to keep students informed and engaged. These include monthly enewsletters that provide updates and highlight important events, as well as targeted emails tailored to specific majors or minors to ensure relevant information reaches the right students. Additionally, the team promotes registration periods and course offerings, making sure students are aware of key academic opportunities and deadlines.

    Advisers at HAS will typically manage emails for their liaison departments. 

  • To create and distribute engaging and effective communications, the team relies on several professional tools. Constant Contact is used for managing email campaigns and distributing newsletters efficiently. Canva supports the design of visually appealing graphics and layouts, while Adobe Creative Cloud offers advanced creative capabilities for producing high-quality content across multiple formats.

  • A fundamental standard practice for the Communications Team is ensuring that all materials are accessible to everyone. This means every piece of communication—whether an email, newsletter, or promotional graphic—must meet UW accessibility standards, allowing all students, including those with disabilities, to access and benefit from the information we provide. This ensures we keep inclusivity in mind and strive for effective communication. 

  • Meet regularly with team to discuss, plan, and execute communications to Humanities students.

    Collect and share with the team requests for course promotions and event promotions from Humanities department and wide UW community.

    Upload monthly newsletters and registration emails to HAS website.

    Identify trends in questions and students appointments to suggest content that may alleviate appointments booked.

  • In OneDrive > Office Operations & Projects > Communications > Communications Team there is an Editorial Calendar.
  • In the sheet, there will be a section on the bi-quarterly newsletter and the common topics a Program Coordinator can input with the newsletter.  
  • The main purpose for these newsletters is to keep our Humanities-affiliated students up-to-date on any events, resources, and information that will help them be successful and more connected to the UW. So there is freedom to think of what you want to put in the newsletter. This is where the emails you have put in the “Promotion Request” folder in the has-center email will come in handy.  
  • You are welcome to look at previous newsletters for inspiration or Recent News, as well as the using the templates to have structure.
  • When creating a newsletter, we recommend naming the campaign name “DATE Student Newsletter”. The date should correspond to the date you are planning on sending the newsletter.
